Key Responsibilities
Contract &amp; Subcontractor Management
<ul>
<li>Prepare, issue, and track subcontractor agreements, work authorizations, change orders, and insurance documents.</li>
<li>Maintain accurate and organized records of all subcontractor contracts and compliance documents (e.g., insurance certificates, licenses, W-9s).</li>
<li>Collect signatures and distribute contracts internally and externally.</li>
<li>Ensure timely renewals of expiring documents and compliance tracking.</li>
</ul>
Project &amp; Budget Coordination
<ul>
<li>Collaborate with Project Managers to verify that subcontractor scopes of work align with project budgets and timelines.</li>
<li>Monitor contract deliverables and flag inconsistencies between scope and budget.</li>
<li>Track change orders and assist in ensuring proper documentation and approvals are obtained.</li>
</ul>
Administrative &amp; Operational Support
<ul>
<li>Assist with project setup and closeout documentation.</li>
<li>Support weekly and monthly reporting requirements.</li>
<li>Maintain and improve contract templates and internal documentation processes.</li>
<li>Format proposals and prequalification packages as needed.</li>
</ul>
Cross Departmental Support
<ul>
<li>Coordinate travel bookings primarily on Mondays and Fridays.</li>
<li>Provide backup support for other departments, including Landscaping, Vending, and ISP (Inbound Support Phone) as needed.</li>
</ul>
Qualifications
<ul>
<li>2+ years of experience in contract administration, project coordination, or administrative support (experience in construction or low voltage preferred).</li>
<li>Associate’s degree in business administration, Construction Management, or related field preferred.</li>
<li>Strong understanding of budgets, scopes of work, and subcontractor documentation.</li>
<li>Proficient in Microsoft 365 (Word, Excel, Outlook); experience with SharePoint or project management tools is a plus.</li>
<li>Strong communication, follow-up, and document control skills.</li>
<li>Able to work independently, prioritize effectively, and handle multiple projects in a fast-paced environment.</li>
<li>Comfortable engaging with subcontractors and internal teams to obtain information and resolve discrepancies.</li>

Compensation &amp; Benefits

Position Purpose: 
The Manager, Contract Administration provides administrative and legal support in a corporate setting operating with a high degree of autonomy. Acting as legal liaison you provide counsel to contract professionals, sales and account executives, product teams, implementation teams, and technology leaders on legal matters. You develop and maintain all forms of contracts and legal documentation, providing sound direction to contract specialists on effective document review, issue-spotting, and problem-solving.

 Working directly with our executives drafting, reviewing and negotiating all contracts from start to finish including:

<li>Various corporate administrative duties (eg managing execution of legal documents, assisting with federal, state and local filings, etc.)</li>

<li>Establishing trust with senior business unit leadership through providing them with effective legal advice.</li>
<li>Independently perform risk mitigation in both new and legacy agreements without significant oversight.</li>

<li>Staying abreast of industry standard methodologies and proposed legislations related to operations of the business and effectively advising accordingly.</li>

 Required qualifications:

<li>Five (5) + years’ visionary legal experience working at either a law firm or as in-house counsel.</li>
<li>We require that you are highly motivated and organized, and expect you to set and execute priorities effectively.</li>
<li>Experienced in transactional and commercial contract and negotiation.</li>
<li>Ability to clearly and effectively communicate verbally and in writing with internal and external parties.</li>
<li>Strong analytical and decision-making skills and attention to detail, particularly with risk identification/mitigation, contract drafting and negotiating.</li>
<li>Demonstrated ability to independently investigating complex problems, developing effective recommendations, negotiating resolutions, and resolving issues in a professional manner.</li>
</ul>
 Preferred qualifications: 
<ul>
<li>Experience negotiating technology contracts with Fortune 500 companies or financial institutions.</li>
<li>Background in lending or other highly regulated industries.</li>
<li>Familiarity with regulatory compliance.</li>
<li>Experience with contract lifecycle management (CLM) software.</li>
</ul>
