Job DescriptionWhitley Law Firm is looking for an experienced Settlement Specialist to join our Accounting team. Employees at Whitley Law Firm share a mission of obtaining the best results for our deserving clients.

The Settlement Specialist plays a key role in ensuring the efficient and timely settlement of personal injury cases within the Finance Department. This position works closely with Case Managers, Attorneys, and other team members to facilitate the settlement process. The Settlement Specialist is detail-oriented, proactive, and highly organized, with a strong commitment to ensuring the accuracy and smooth execution of all settlement-related tasks.

Anticipated Schedule: Monday - Friday | 40 hours weekly, between the hours of 7:30am - 5:30pm

Key Responsibilities:

  • Subrogation Management: Identify and verify subrogation details, including sending Letters of Representation to the appropriate parties. Navigate subrogation portals such as Chartswap, Medicare, Medicaid, Optum, HMS/Solaris, etc. for lien updates. Research and open subrogation case files for health insurance companies (Medicare, Medicare Advantage, Medicaid, State Health Plan, etc.)
  • Provider Communication: Regularly update provider balances (every 30 days) by reviewing statements and contacting provider offices via phone, email, or other methods as needed.
  • Ledger Maintenance: Ensure the settlement ledger is accurate and up-to-date by entering correct balance and subrogation lien information well in advance of settlement.
  • Billing Coordination: Request and manage updated medical bills as directed by case managers, negotiators, or attorneys.

Required Skills and Abilities:

  • Communication Skills: Strong verbal and written communication skills with the ability to engage effectively with internal teams, financial institutions, medical providers, and lien holders.
  • Attention to Detail: Exceptional attention to detail with a focus on accuracy in managing balances and lien information.
  • Organization: Highly organized, with the ability to manage multiple priorities and deadlines simultaneously.
  • Technology Proficiency: Proficient in Microsoft Office Suite, particularly Excel, and case management software (CSM) such as Needles, GrowPath, FileVine, or similar software.
  • Knowledge of Subrogation: Strong understanding of health insurance subrogation processes, lien resolution, and their impact on settlement disbursements.
  • Customer Service: Excellent interpersonal skills with the ability to maintain professionalism and strong working relationships with external and internal parties/clients.

Education and Experience Requirements:

  • High School diploma or equivalent required.
  • Associate's degree in finance, accounting, or similar field preferred.
  • At least two (2) years of experience with legal and/or medical billing required.
  • Must have demonstrated experience with utilizing mathematical skills and analyzing numbers.
