Overview

The Assistant Property Manager is responsible for the overall daily operations, maintenance, security, and tenant satisfaction at a designated Industrial Flex Facility. This role serves as the primary point of contact for tenants, contractors, and property management, ensuring the facility is maintained to the highest standards of safety, functionality, and appearance.

Key Responsibilities

1. Facility Operations & Maintenance

  • Routine Inspections: Conduct daily or regular walk-throughs to inspect the physical condition of the property, identifying maintenance needs, safety hazards, and needed repairs (e.g., roofing, pavement, common area HVAC, lighting).
  • Maintenance Coordination: Oversee and coordinate all scheduled and emergency maintenance, repairs, and improvements for the building systems and common areas.
  • Vendor Management: Manage and direct third-party contractors and vendors (e.g., landscaping, janitorial, fire/life safety, security) to ensure quality work and adherence to service contracts and safety protocols.
  • System Oversight: Monitor and troubleshoot key building systems, including HVAC, plumbing, electrical, and fire protection systems, coordinating specialized technicians as required.

2. Tenant Relations & Management

  • Primary Contact: Serve as the initial point of contact for all tenant concerns, service requests, and operational issues.
  • Move-in/Move-out: Coordinate and supervise the tenant move-in and move-out processes, including space preparation and final inspections.
  • Lease Compliance: Ensure tenants comply with the terms of their leases, specifically regarding common area usage, facility alterations, parking, and operational guidelines.
  • Emergency Response: Implement and execute the facility's emergency response plan, acting as the on-site coordinator during critical incidents (e.g., fire alarms, severe weather, power outages).

3. Safety, Security, and Compliance

  • Safety Protocols: Develop, implement, and enforce site-specific safety plans and procedures for both staff and contractors, in accordance with OSHA and local regulations.
  • Security Management: Oversee the facility's security systems and protocols, including access control, surveillance, and lighting.
  • Record Keeping: Maintain accurate, detailed records of all maintenance work, inspections, incident reports, safety training, and regulatory compliance documentation.
  • Budget Adherence: Assist in the preparation and management of the facility operating budget, monitoring expenses for maintenance and repairs.

Qualifications

Required Skills & Experience

  • Education: High School Diploma or equivalent required; Associate's or Bachelor's degree in Facilities Management, Property Management, or a related field is a plus.
  • Experience: Minimum of 3-5 years of progressive experience in property management or facilities maintenance, preferably in an industrial, commercial, or flex-space environment.
  • Technical Knowledge: Proven ability to diagnose and coordinate repairs for commercial building systems (e.g., electrical, plumbing, HVAC).
  • Communication: Excellent verbal and written communication skills; ability to interact professionally with tenants, vendors, and corporate management.
  • Physical Requirements: Must be able to perform physical duties associated with property oversight, including walking the property, climbing ladders, and occasionally lifting up to 50 lbs.

Schedule:

  • Part-time hours 8 to 10 hrs per week. Twice a week 9 am to 1 pm (flexible).
  • Occasional paid extra time may be needed.
