JOB SUMMARY: Under the supervision of the Lead Legal Assistant, the Legal Assistant provides support to their assigned timekeepers with a focus on intellectual property and patents.
ESSENTIAL DUTIES AND RESPONSIBILITIES: "Essential functions" are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.
Administrative Responsibilities:
- Responsible for supporting multiple timekeepers, completing various administrative tasks, and providing outstanding customer service to clients.
- Prepares, proofreads, and processes legal documents such as summons, subpoenas, complaints, appeals, and motions
- Mail, fax, or arrange for delivery of legal correspondence to clients, witnesses, and court officials
- Organize and maintain law libraries, documents, and case files.
- Make photocopies of correspondence, documents, and other printed materials
- Assists attorneys in collecting information such as employment, medical, and other records
- Reviews and assists with attorney billing binders
- Enters daily time for all timekeepers
- Attend legal meetings such as client interviews, hearings, or depositions, and takes notes
- Tracking deadlines and maintaining calendars
- Receive and place telephone calls
- Maintains confidential information
- Lends support for other legal administrative assistants in their absence
- Manages projects and balances workloads within their practice group
REQUIRED KNOWLEDGE, SKILLS & ABILITIES:
- Highly motivated and organized with the ability to work independently with minimal supervision, organizing and prioritizing numerous projects/tasks.
- Strong communication skills (written/verbal) and interpersonal skills, with a strong propensity toward superior customer service.
- Strong work ethic and a clear understanding of the requirement for confidentiality as related to clients, employees, and employee matters.
- Ability to adhere to an employer-set work schedule, with reasonable flexibility for projects or workload needs.
- This position functions in a typical office setting with a requirement to work in the office.
- There may be minimal travel between offices.
REQUIRED EDUCATION AND EXPERIENCE:
- A high school diploma is required
- Working knowledge of Microsoft Outlook, Word, Excel, and PowerPoint, and an ability to grasp trained technology applications.
WORKING CONDITIONS:
Normal law office environment with little exposure to excessive noise, dust, extreme temperature, and the like.
