Job Title: Contract & Subcontractor Coordinator

Position Overview

We are a growing Low Voltage company seeking a highly organized and detail-oriented Contract & Subcontractor Coordinator to manage the full lifecycle of subcontractor documentation, contract tracking, and budget alignment. This role is critical to ensuring that all subcontractor agreements, scopes of work, and project deliverables are documented, compliant, and financially aligned.

The ideal candidate will have strong communication skills, be comfortable working with numbers, and bring a proactive, solution-driven mindset to a fast-paced project environment.

Key Responsibilities

Contract & Subcontractor Management

  • Prepare, issue, and track subcontractor agreements, work authorizations, change orders, and insurance documents.
  • Maintain accurate and organized records of all subcontractor contracts and compliance documents (e.g., insurance certificates, licenses, W-9s).
  • Collect signatures and distribute contracts internally and externally.
  • Ensure timely renewals of expiring documents and compliance tracking.

Project & Budget Coordination

  • Collaborate with Project Managers to verify that subcontractor scopes of work align with project budgets and timelines.
  • Monitor contract deliverables and flag inconsistencies between scope and budget.
  • Track change orders and assist in ensuring proper documentation and approvals are obtained.

Administrative & Operational Support

  • Assist with project setup and closeout documentation.
  • Support weekly and monthly reporting requirements.
  • Maintain and improve contract templates and internal documentation processes.
  • Format proposals and prequalification packages as needed.

Cross Departmental Support

  • Coordinate travel bookings primarily on Mondays and Fridays.
  • Provide backup support for other departments, including Landscaping, Vending, and ISP (Inbound Support Phone) as needed.

Qualifications

  • 2+ years of experience in contract administration, project coordination, or administrative support (experience in construction or low voltage preferred).
  • Associate’s degree in business administration, Construction Management, or related field preferred.
  • Strong understanding of budgets, scopes of work, and subcontractor documentation.
  • Proficient in Microsoft 365 (Word, Excel, Outlook); experience with SharePoint or project management tools is a plus.
  • Strong communication, follow-up, and document control skills.
  • Able to work independently, prioritize effectively, and handle multiple projects in a fast-paced environment.
  • Comfortable engaging with subcontractors and internal teams to obtain information and resolve discrepancies.

Compensation & Benefits

  • Competitive salary: $60,000 – $70,000 DOE

  • 8-hour shifts, Monday–Friday (occasional weekends as needed)
