Position Title: Front Desk Receptionist/Administrative Assistant

Time Commitment: Full-time, 40 hours per week in office; not a hybrid position

Hourly Range: $19-21/hour

Compensation: Benefits Package, including but not limited to 401(k) plan and paid time off (PTO)

Location: Hendersonville

The Van Winkle Law Firm front desk receptionist is a highly responsible position that is vital to the firm’s commitment to meet our clients’ needs. The receptionist interfaces with firm employees and clients in person and via telephone and email. They must provide exceptional customer service as the first point of contact for clients, which is crucial to creating a professional and trustworthy image for the firm. The receptionist is expected to have general knowledge of administrative tasks and the ability to apply that knowledge while remaining calm under pressure.

Responsibilities

· Being reliable and punctual to ensure the office opens on time and the front desk is covered at all times

· Answering multiple phone lines and directing calls appropriately

· Greeting clients, ensuring they feel welcome in the office, and assisting them to their assigned conference rooms

· Ensuring the lobby and conference rooms are clean and well stocked

· Maintaining conference room calendars

· Opening and closing client files at the direction of staff

· Filing legal documents

· Updating and maintaining client and contact lists

· Providing back-up support for other assistant duties, including conflict checks, copying, scanning, mailing, data entry, etc.

· Overseeing mail and courier duties

· Maintaining and ordering office supplies

· Informing the Firm Administrator of office building issues that need attention

· Guiding vendors who have business in the building

· Assisting administrative team with special projects

Minimum Requirements:

· High school diploma or equivalent

· Administrative office experience, professional services industry preferred

· Proficient in Microsoft Office applications including Outlook, Excel, Word, and Power Point

· Ability and willingness to learn new computer programs specific to the firm

· Experience answering multiple phone lines, directing calls, and relaying clear messages

· Demonstrated customer service experience

· Reliable transportation
