WHAT YOULL BE DOING:
As a Project Coordinator on the Estimating Team at Felix Construction, you will support the preconstruction process through administrative coordination, bid preparation, and communication with subcontractors and vendors. Your work will help ensure that accurate and timely estimates are delivered, enabling the successful planning and execution of Felixs projects.
You will work closely with Estimators and Project Managers to organize bid documents, track due dates, and manage communications critical to the estimating function. This is an ideal opportunity for someone who enjoys fast-paced environments and has a passion for detail and organization.
Core Responsibilities:
- Coordinate project bid schedules and maintain estimating calendars and milestone trackers
- Prepare, organize, and distribute bid documents, addenda, and scope sheets to subcontractors
- Track bidder responses and maintain subcontractor and vendor contact lists
- Support Estimators with quantity take-offs, subcontractor outreach, and bid tabulations
- Assist in the development of estimate summaries, proposal documents, and final bid submissions
- Ensure accurate filing and organization of historical cost data, vendor quotes, and bid logs
- Communicate effectively with internal project teams and external subcontractors to ensure deadlines and deliverables are met
- Attend estimating meetings and capture meeting notes and action items
- Coordinate logistics for pre-bid walkthroughs and site visits when required
Core Qualifications:
- 2+ years of administrative or coordination experience, preferably in construction, engineering, or estimating environments
- Strong working knowledge of Microsoft Office Suite (Excel, Outlook, Word)
- Comfortable learning and using estimating and project management software tools
- Excellent communication and organizational skills
- Ability to work independently and manage multiple priorities and timelines
- High school diploma or GED required; associate or bachelors degree in construction management, engineering, business, or related field is a plus
- Must be legally authorized to work in the U.S. without sponsorship
- Valid drivers license with a clean driving record
- Willingness to work onsite at Felixs office in Arizona
